A Wedding Details Card – What to Include

There’s a lot of information your guests will need to know about your wedding and you don’t want to cram everything onto the invitation itself. A wedding details card is the perfect solution. You can give extra insight into your day by letting guests know practical information such as accommodation, transportation, gifts, or your dress code.  It’s also a great place to include a link to a wedding website, for even more information about your day. RSVP 

You can include an email, telephone number or direct guests to a wedding website.  The RSVP date is usually set 45 days before the wedding date. You can also ask people to include their dietary preferences. 

EXAMPLE WORDING:

Kindly respond by the 7th November 2025 to our email jemmaandmatthew@gmail.com

Please include any dietary preferences you may have.

TRANSPORT

If your venue is a little out of the city you may want to include information on charter buses or ferries. Also include information on venue parking if guests are driving.

EXAMPLE WORDING

“Complimentary shuttles will be provided from the ferry terminal to the vineyard and back to the ferry terminal at the end of the evening. Please let us know if you will be requiring this service”.

ACCOMODATION 

Rather than a list of hotels, this is general guidance of what accommodation types are near your venue. You can also advise guests if you are booking a block of rooms at a particular hotel where they can stay.

EXAMPLE WORDING 

“There are numerous accommodation options in Auckland close to our venue. We suggest booking accommodation as early as possible.” 

GIFTS

Many couples nowadays have everything they need to set up home. So, they don’t want several toasters as gifts! It can be a sensitive topic to ask directly for money so it’s a nice idea to have a wishing well at your reception. That way guests can contribute towards your honeymoon or something special you’d like to purchase. 

You may also have a registry for gifts set up. You can include the registry website so guests can purchase a specific gift. 

EXAMPLE WORDING

“The greatest gift we could ask for is your company at our wedding. However, should you wish to help us celebrate with a gift, a contribution towards our honeymoon would be warmly appreciated. We will have a wishing well for cards and well wishes at the venue”.

REQUESTING NO CHILDREN

It’s your decision on who you choose to invite to your wedding and you may like to have an adult only occasion.  However, some guests may be sensitive about whether their little ones are included or not. Therefore, the “no children” message needs to be carefully considered.

EXAMPLE WORDING
“Whilst we love all your little ones, it is our wish that you have a night of leisure & light-hearted festivity. We politely request no children.”

DRESS CODE 

This can be simply ‘Smart Casual’ or ‘Black Tie’. Some couple like to be more specific and request certain colours. For example, a couple getting married in a Spring Garden requested the woman wear floral dresses and the men pastel shirts. The photos were very pretty! 

EXAMPLE WORDING 

“Dress Code: Semi-formal. We are hoping to create a colour theme for our day; please wear white, beige or light-coloured clothing.”

WEDDING WEBSITE

If you have a wedding website, you can direct guests directly to that site for extra information too. There are several free website you can use and they might include a password.  An option is to use a QR code on the details card which will direct your guests to your website. The site can include all the extra information that guests need. This is especially important if you are having a destination wedding. Some websites have the ability to collect RSVPs.
